What should I do on the day of the change (Friday 1 April)?

Log out of ALL applications and shut down your machine by 5pm Friday 1 April to enable all required changes to take place on your machine.

This will limit the number of errors you experience on Monday 4 April.

Will my machine login change to BII?

Log into your laptop as usual. You may notice sign in still refers to CDCGroup, this is expected for the first few days.

Note : Only the login username to applications are changing.

My Outlook is still displaying my @cdcgroup.com account

This is expected. it could take up to 7 days to fully synch.

You may not see the change reflected immediately. However, all external emails will come from username@bii.co.uk. You can test this by sending to your private personal email account.

Will I still receive emails to my old, cdcgroup.com account?

The name of your email address has changed. You will continue to receive emails sent to your cdcgroup.com account. From Monday 4 April, all emails we be sent from username@bii.co.uk

Note the synch could take up to 7 days. Therefore, you may see your email account is still referred to as username@cdcgroup.com.

This is expected. Importantly, external mails will be received as username@bii.co.uk. You can test this by sending to your private personal email account.

Will I have access to my email history?

Yes. Your email history, files and folders, will remain in your account.

I can't find all emails from a named user?

From 4 April, internal emails will be sent from username@bii.co.uk.

Therefore, if you search ‘username@cdcgroup.com’, only emails sent from this account will be displayed. As such, please search on that person’s name i.e., ‘username’ and this will return emails from both cdcgroup.com and bii.co.uk.

Why am I still seeing my old username@cdcgroup.com when sending an email after the changeover?

If you are a delegate and have the 'from field', you may still see your username@cdcgroup.com here.

Due to the data synch time, this is expected. Importantly, external mails will be received as username@bii.co.uk. You can test this by sending to your private personal email account.

What if a Teams meeting I created before the 4 April change doesn’t work in the Webex enabled meeting via the Join button?

Due to the rename changes, the Webex link within Teams invites will no longer work from meeting rooms.

Please follow the guidance here to manually join.

Why are links shared from OneDrive, individual Teams chats and links that have been shared with me broken?

This is expected. From Monday 4 April your OneDrive URL will change, therefore paths to your documents will change too.

For internally shared links, immediate fix for internally shared links can be found on this page. If links have been shared externally, they will need to be re-shared using the new link.

For more details on expected errors click on the OneDrive logo in the Application Hub (Home Page).

How do I know what files have been shared to external people?

Log into Office.com, click on the waffle and open OneDrive, go to Shared as below and you can see what has been Shared by you. You can then resend the link to the documents.

Why can't I access my recent files in Word/PowerPoint/Excel?

This is expected as files from your OneDrive under 'Recent' are pointing to the old, CDC OneDrive URL which is no longer be accessible.

When you attempt to open a file, you will receive the following alert: 'We can't reach that folder right now. It's possible you're not connected to it, or the folder no longer exists'.

You will be able to see recent files by going to Word/ PowerPoint and Excel – Click File Open and you will see your recent files.

Microsoft Teams has signed in with my cdcgroup.com account

If you are signed in with you cdcgroup.com account, you should sign out and sign back in using your bii.co.uk account name. Follow the steps in the Laptop Instructions.

For further help, refer to the the Microsoft Teams logo in the Application Hub.

My Teams desktop app is showing errors

Please follow the Laptop guidance fully. If you still have issues. go to Teams in the Application hub for expected errors.

Note, you can log into your web applications via Office.com.

The page contact on Sydney is missing

This is expected behaviour.

If you had a page contact on your site before the Username changes, this will disappear. This is because page contacts are manually added. The system no longer identifies cdcgroup alias' and will disable these selections.

Please refer to the Sydney Sharepoint logo in the Application hub on how to update Page Contacts.

Where can I find the new BII document templates?

BII document templates for Word, PowerPoint and Excel can be found when you select 'File' and browse for 'More Themes' within the respective application.

New templates can also be found under 'New' button on the default document library for SharePoint and Teams.

Please click on the Word, Excel and PowerPoint logo in the 'Application hub' for more details.

What other changes will I notice?

The main change you'll notice is the account you use to sign in to applications will change from @cdcgroup.com to @bii.co.uk.

Please ensure you sign in with your new BII account credentials in all Office applications. This will help limit the amount of errors you experience.

What should I do if I'm travelling during that weekend?

As systems will be down there'll be no access to emails that weekend please print out any documentation, Itineraries etc and make sure you carry a copy of docs.

Why can't I see my profile picture in the Office Portal?

When you initially login to Office.com check your profile credentials on the top right hand side of the browser. This should appear as a circle with your initials.

You may wonder why your picture is missing from the portal suite bar. This is an expected behaviour and may take some time to synchronize.

For a quick resolve please sign out out and sign back in. Your picture should synchronize soon after.
